1. 信頭(heading)

信頭包括寫信人地址和寫信日期,通常寫在信箋的右上角。在比較熟識的朋友之間的通訊,寫信人的地址常可略去。日期通常有下列兩種定法:

1.1 月、日、年:如august 15, 200__

1.2. 日、月、年:如15th august, 200__

地址的寫法通常是由小到大,如:門牌號、街道名、市(縣)名、省名、國名(郵政編碼通常寫在城市名之後)。這同中文書信的地址寫法完全相反。地址可以寫1~3行,日期寫在地址的下方。

2. 稱呼(salutation)

稱呼指寫信人對收信人的稱呼,如dear xiaojun,寫在信頭的下方和信箋的左邊。稱呼一般用dear…或my dear…開頭,稱呼後一般用逗號。

3. 正文(body)

這是書信的主體部分,即寫信人要表達的內容。正文要求文字通順,層次分明,表意清楚。可以手書,也可以打寫。

4. 結束語(complimentary close)

它是書信結尾的恭維話,相當於文中書信最後的“祝好”、“致禮”之類的話語。

5. 簽名(signature)

簽名通常簽在結束語下方的中間偏右的位置,即使是打寫機打出的信件,最後仍需親筆簽名。在簽名的上方可根據寫信人和收信人的關係寫上sincerely yours/yours sincerely(用於長輩或朋友之間),或respectfully yours/yours respectfully(用於對長輩或上級)。

商務信函的要求有所不同。

商業英文書信,一般都要求用打字機或電腦整齊地列印,左邊各行開頭垂直的,稱為垂直式或齊頭式(block style),美國常用這種格式;每段的第一個詞縮排去,稱為縮排式或鋸齒式(indented style),英國常用此格式。垂直式的職務及簽名都在左邊的邊欄界線,這種格式,在極度尊重工作效率的美國公司,已普遍採用。正式的商業英語書信要在稱呼的上方寫上收信公司名稱和地址或收信人的名字全稱、職務及地址,稱為信內地址(inside address)。信內地址的寫法也有垂直式和縮排式之分,垂直式和稱美國式將各行並列,縮排式或稱英國式將各行依次退縮。

不過,近來英國商業書信信內地址並未依次縮排,似乎與美國式相同。此外,在美國還流行一種普通收信人地址的寫法,就是在書信的inside address中,把門牌號和街名都省略掉。在英文書信中要使用敬語,最普遍的敬語是mr, mrs和miss(用於未婚女性)。英國人常在男性的姓名之後用esq. (esquire的縮寫),不過在商業上也在慢慢地改用mr. mmes. (madam的複數形式),用於二個女士以上。messrs(mr的複數形式)用於二個以上的男人,或用於二個以上的男人組成的公司或團體。在英國式英文信裡,mr, mrs, messrs,均不加縮寫句點,相反地趨向於進步自由的美語反而加縮寫句點如mr., mrs., messrs……在稱呼方面,商業上最普遍的有gentlemen(美國式)與dear sirs(英國式)二種,相當於我國的"敬啟者"或"謹啟者".如果信是寫給革個公司單位的,不是寫給某個具體人的,美語用gentlemen(複數形式),英語用dear sirs.如果對方公司只一人時,必須使用sir/dear sir.稱呼後一般要使用標點符號,英國式採用逗號“,”(comma),美國式用分號“;”(colon)。書信結尾客套語(complimentary close)有多種,相當於我國書信在結尾時使用的"敬禮"、"致敬"、"順安"等句。最為典型的美國式寫法是sincerely和best regards,典型的英國式表達有yours sincerely(熟人或知道對方姓名),best wishes, kind regards 和yours faithfully(不知姓名)。此外,英國式的客套語還有特別禮貌的格式,但除了特殊情況外,現在不再使用

與中文信封相反,英文信封上收信人的地址和姓名寫在信封的中間,發信人的地址和姓名寫在信封的左上角,或信封背面。

英文書信的地址應從小寫到大,先寫門牌號碼,再寫街道、城鎮、省或州及郵政編碼,最後是國家名稱。國家名稱的每一個字母都要大寫。

2. 信頭/個人信頭(letterhead/personal letterhead)

公司信紙上方居中一般都印有其名稱、地址和聯絡號碼,這就是通常所說的信頭。在沒有信頭的普通訊紙上寫信,作者就需要寫明回郵地址和聯絡號碼。

3. 封內日期(date line)

封內日期是寫信或打字時的日期。封內日期寫在信頭或作者地址的下兩行。

4. 封內地址(inside address)

封內地址是收信人的地址,包括姓名,職務(如適用),公司名稱(如適用),街道名稱或信箱號,城市,州或省,郵政編碼和國家。封內地址通常寫在左手邊,在日期線和稱呼之間。

5. 稱呼(salutation)

稱呼是一封信開頭對收信人的稱呼,寫在封內地址或提示句下兩三行。稱呼後可以寫冒號或逗號。在商業信函或其他正式書信中,用冒號。

在非正式書信中,稱呼後用逗號。(注意:儘量避免使用“to whom it may concern” 或“dear sir or madam”,因為這種稱呼已經過時,並且不很友好。改進方法是爭取確定收信人的姓名,或使用“dear human resources manager”,“dear friends”這樣的稱呼。在給律師或外交領事寫信時,可以使用“esquire”或“esq.”這樣的頭銜,但它們不應出現在稱呼中。同樣,如果收信人的姓名後面有“jr.”或“sr.”,如“george bush,jr.”也不能把它們包含在稱呼中。)

6. 頭銜(titles)

除非寫信人與收信人熟到可以直呼其名,通常要在收信人名字前加上“mr.”,“professor”等表示禮貌的頭銜。

7. 提示句(選擇性)attention line(optional)

提示句的用途是指明把信送給某個具體的人或部門處理,儘管信是寫給這個組織的。另外,在指明的收信人不在時,它也允許組織中其他人檢視信的內容。提示句通常寫在封內地址的下兩行或封內地址的上面。

8. 主題句(選擇性)subject line(optional)

主題句簡要說明信的內容。通常寫在封內地址和稱呼之間。如果寫信人不知道收信人的姓名,也可以用主題句代替稱呼。為了收到最佳效果,可以給主題句加下劃線,或大寫主題句。

9. 正文(body of the letter)

正文的格式多種多樣。商業信函最好使用齊頭式。而私人信件通常不用齊頭式。在齊頭式書信中,全部內容包括日期和信尾問候語,都從左側頂格開始。段落開頭不空格,各段之間空兩行。

修正齊頭式,是使用最為廣泛的一種格式,商業和私人信件都可以使用,儘管在私人信件中不一定要寫回郵地址和封內地址。使用沒有印刷信頭的普通訊紙時,這種格式最合適。與齊頭式不同,發信人地址、日期,信尾問候語和簽名都從中間開始寫。其餘部分從左邊開始。

10. 寫信人簽名(writer's identification/ signature)

寫信人的簽名、名字和頭銜(如果適用),寫在信尾問候語同側三四行以下的位置。應親筆簽上寫信人自己的姓名。如果是用打字機或電腦寫的信,在寫信人簽名的上方,同樣應該打上寫信人的姓名。

11. 附註(notions)

附註寫在寫信人簽名下兩行的位置,附註包括參考縮寫,附件的數目和內容以及將收到這封信副本的人員名單。附註寫在左側。

12. 信尾問候語(complimentary closing)

信尾問候語是寫在信尾的告別話語,例如sincerely,; sincerely yours,; yours

英文書信的格式概述

1、信頭(heading)

指發信人的姓名(單位名稱)、地址和日期,一般寫在信紙的右上角。一般公函或商業信函的信紙上都印有單位或公司的名稱、地址、電話號碼等,因此就只需在信頭下面的右邊寫上寫信日期就可以了。

英文地址的寫法與中文完全不同,地址的名稱按從小到大的順序:第一行寫門牌號碼和街名;第二行寫縣、市、省、州、郵編、國名;然後再寫日期。標點符號一般在每一行的末尾都不用,但在每一行的之間,該用的還要用,例如在寫日期的時候。

日期的寫法,如1997年7月30日,英文為:july 30,1997(最為普遍); july 30th,1997;30th july,1997等。1997不可寫成97。

2、信內地址(inside address)

在一般的社交信中,信內收信人的地址通常省略,但是在公務信函中不能。將收信人的姓名、地址等寫在信頭日期下方的左角上,要求與對信頭的要求一樣,不必再寫日期。

3、稱呼(salutation)

是寫信人對收信人的稱呼用語。位置在信內地址下方一、二行的地方,從該行的頂格寫起,在稱呼後面一般用逗號(英國式),也可以用冒號(美國式)。

(1)寫給親人、親戚和關係密切的朋友時,用dear或my dear再加上表示親屬關係的稱呼或直稱其名(這裡指名字,不是姓氏)。例如:my dear father,dear tom等。

(2)寫給公務上的信函用dear madam,dear sir或gentleman(gentlemen)。注意:dear純屬公務上往來的客氣形式。gentlemen總是以複數形式出現,前不加dear,是dear sir的複數形式。

(3)寫給收信人的信,也可用頭銜、職位、職稱、學位等再加姓氏或姓氏和名字。例如:dear prof. tim scales, dear smith。

4、正文(body of the letter)

位置在下面稱呼語隔一行,是信的核心部分。因此要求正文層次分明、簡單易懂。和中文信不同的是,正文中一般不用hello!(你好!)

正文有縮排式和齊頭式兩種。每段書信第一行的第一個字母稍微向右縮排些,通常以五個字母為宜,每段第二行從左面頂格寫起,這就是縮排式。

但美國人寫信各段落往往不用縮排式,用齊頭式,即每一行都從左面頂格寫起。商務信件大都採用齊頭式的寫法。

5、結束語(complimentary close)

在正文下面的一、二行處,從信紙的中間偏右處開始,第一個詞開頭要大寫,句末用逗號。不同的物件,結束語的寫法也不同。

(1)寫給家人、親戚,用your loving grandfather,lovingly yours,lovingly等;

(2)寫給熟人、朋友,用yours cordially,yours affectionately等;

(3)寫業務信函用truely yours(yours truely),faithfully yours(yours faithfully)等;

(4)對上級、長輩用yours obediently(obediently yours),yours respectfully(respectfully yours)等。

6、簽名(signature)

低於結束語一至二行,從信紙中間偏右的地方開始,在結束語的正下方,在簽完名字的下面還要有用打字機打出的名字,以便識別。職務、職稱可打在名字的下面。當然,寫給親朋好友的信,就不必再打了。

7、附言(postscript)

一封信寫完了,突然又想起遺漏的事情,這時用p.s.表示,再寫上遺漏的話即可,要長話短說。通常在信末簽名下面幾行的左方,應於正文齊頭。

注意:在正式的信函中,應避免使用附言。

8、附件(enclosure)

信件如果有附件,可在信紙的左下角,註上encl:或enc:,例如:encl:2 photos(內附兩張照片)。如果福建附件不止一項,應寫成encl:或encs。

我們有時可看到在稱呼與正文之間有re:或subject:(事由)字樣。一般在信紙的中間,也可與“稱呼”對齊。還應在底下加橫線,以引起讀信人的注意,使收信人便於在讀信之前就可瞭解信中的主要內容。事由一般在公務信函中使用,也可以省略。

hi, all 非常好用,群發郵件給全系、全班同學或者自己的好友群。

folks這個用法在不那麼熟的一個大朋友圈裡比較好用,比如全公司的同事群發郵件,有的人你其實也不熟,就可以醬紫寫。

如果follow up 一下上次的見面

it was a great pleasure to meet you the other day at your office. 比如面試回來寫 thanks letter.

如果收到對方email先:

thank you for your message/email.

it's good to hear from you. 很高興受到你的信,朋友間多見。

回信晚了:

sorry it took me so long to get back to you.(回電話晚了也可以這麼說)

如果上封信有錯誤,重發:

please ignore/disregard my last email.

或者不那麼正式的話,乾脆就在subject裡面寫個read me first!

如果道歉

my apologies for the back and forth. 比如教授通知課改時間上,一會兒又說原計劃,一會兒又說還是改時間了的時候,他一定會在email裡寫這句的!
